Administrative assistant (Bilingual French/English)

WEEKLY WORK HOURS:
20 hours/week, with the possibility of leading to full-time

Organization Description:

The Centre culturel Frontenac is an inclusive and unifying access point for the dissemination of arts and culture in French, serving as a driving force for community development in Kingston. Its mission is to bring together and solidify the Francophone and Francophile community in the greater Kingston and Thousand Islands region by celebrating and promoting the arts and culture in French. With a young and dynamic team, the focus is on creating a unique artistic experience between artists and audiences. The Centre culturel Frontenac hosts several community and cultural activities, including 12 to 15 shows per year. The Centre also produces the region's only Francophone newspaper, L’Informel.

 

General Description:

Under the immediate supervision of the Executive Director and in accordance with the Statutes, Regulations, and Internal Policies of the Centre, the person in this role must demonstrate availability and dynamism. Community engagement and an interest in culture will be appreciated in the context of teamwork in administrative management, reception, and event support.

 

Specific Responsibilities:

Administrative Duties:

  • Support the General Management in the administration of the Centre.
  • Assist the General Management with ongoing and quarterly accounting tasks.
  • Perform bookkeeping and bank reconciliations.
  • Manage and process billing and authorized payments.
  • Handle payroll processing.
  • File administrative, accounting, and legal documents.
  • Prepare and monitor rental contracts.
  • Generate reports and track inventories.
  • Manage the event calendar and rental of CCF spaces.
  • Assist in drafting financial reports for grant applications, reports, and the annual audit.

Event Management Duties:

  • Manage offline sales, cash payments, and petty cash.
  • Assist with the smooth running of artistic activities, sometimes in the evenings and on weekends.
  • Perform any other tasks as requested by the General Management and in collaboration with the Artistic Director and the Technical Director of the CCF.

 

Desired Skills and Qualifications:

  • Completed college or CEGEP studies, with a preference for completed university studies, in management and accounting. Equivalent professional experience may also be considered.
  • At least 1 year of experience in accounting is an asset.
  • Knowledge of or willingness to learn bookkeeping and payroll softwares (Dext, Intuit QuickBooks, Desjardins’ Solution EmployeurD payroll system).
  • Preferred skills and experience in administration and accounting.
  • Demonstrated autonomy, initiative, and ability to work in a team.
  • Attention to detail and ability to prioritize tasks.
  • Rigor, organizational skills, and action-oriented approach.
  • Excellent proficiency in French, both oral and written, with knowledge of English, both oral and written.
