WEEKLY WORK HOURS: 30 hours per week
POSITION STATUS: One-year contract (renewable)

START DATE: As soon as possible
SALARY: $20/hour. Partial coverage of supplementary health insurance after three months of employment.

Organization Description
The Centre culturel Frontenac is a key player in the francophone artistic and cultural life of the Greater Kingston area. Inclusive, community-oriented, and committed to cultural development, the Centre brings together francophones and francophiles through a rich and diverse program that celebrates and promotes the arts in French. Each year, the Centre presents a season of approximately 12 performances, hosts numerous cultural and community activities, and publishes L’Informel, the region’s only French-language newspaper.

Supervision – Executive Director
Under the direct supervision of the Executive Director and in accordance with the Centre’s bylaws, regulations, and internal policies, the successful candidate will demonstrate professionalism and initiative. An interest in community engagement and culture is considered an asset in this collaborative administrative and event-support role.

The Administrative Assistant plays an essential role in supporting the Centre’s daily operations and ensuring the smooth coordination of space rentals and events.

Specific Responsibilities

Administration

  • Support the Executive Director in the administrative management of the Centre and Théâtre Le Sésame
  • Prepare invoices, estimates, contracts, purchase orders, and ensure follow-up
  • Organize and maintain administrative and accounting records
  • Track payments, sales, and rentals
  • Communicate with rental clients and service providers to coordinate space rental needs (primarily in English)
  • Manage the events calendar and space bookings
  • Enter data into the space reservation system
  • Produce reports as needed and monitor inventory

Events

  • Assist with the smooth operation of artistic activities, occasionally during evenings and weekends
  • Perform other related duties as assigned by the Executive Director
  • Collaborate with management, artistic coordination, and the CCF technical director

Skills and Qualifications

  • College or CEGEP-level education completed; equivalent professional experience may be considered
  • Administrative experience (1 year or more, an asset)
  • Proficiency with digital tools (Word, Excel); knowledge of Dext or QuickBooks is an asset
  • Excellent written and spoken French; ability to work in English
  • Strong organizational skills, autonomy, attention to detail, and teamwork abilities
  • Ability to prioritize tasks in a dynamic environment
  • Interest in culture, the arts, and community work is an asset
